Sponsorship Terms and Conditions

1. Acceptance and Sponsorship Fee

1.1 By submitting a Sponsorship Application Form, the Sponsor agrees to these Terms and Conditions.

1.2 The Conference Organiser reserves the right to accept or decline any sponsorship application.

1.3 The Sponsor agrees to pay the Sponsorship Fee within 7 business days of receiving an invoice.

1.4 In return for payment of the Sponsorship Fee, the Conference Organiser will provide the sponsorship benefits outlined in the Sponsorship Prospectus or otherwise agreed in writing.


2. Sponsorship Obligations

2.1 The Sponsor must conduct itself, and ensure its representatives, employees, contractors and guests conduct themselves, in a professional and appropriate manner and in accordance with all applicable laws and regulations.

2.2 The Sponsor and its representatives must comply with reasonable directions of the Conference Organiser, Conference Host and Venue, including directions relating to health, safety and security.

2.3 The Sponsor may not transfer, assign or share its sponsorship package or exhibition space with another organisation without the prior written approval of the Conference Organiser.

2.4 The Sponsor is responsible for the actions and conduct of its representatives, employees, contractors and guests.

2.5 Where required, the Sponsor must provide evidence of public liability insurance of at least AUD $10 million.

2.6 Where the Sponsor has an exhibition space, the space must remain staffed and operational until the advertised close of the exhibition. No dismantling or removal of displays may commence before this time.


3. Liability and Insurance

3.1 The Sponsor is responsible for any loss, damage, claim or expense arising from the actions or negligence of the Sponsor or its representatives, employees, contractors or guests.

3.2 The Sponsor agrees to indemnify the Conference Organiser and Conference Host against any claims, losses, damages or reasonable costs arising from a breach of these Terms and Conditions or the negligent or unlawful acts or omissions of the Sponsor or its representatives, employees, contractors or guests.

3.3 To the extent permitted by law, the Conference Organiser and Conference Host are not liable for any indirect or consequential loss arising in connection with the Conference.

3.4 The Conference Organiser and Conference Host are not responsible for loss of or damage to the Sponsor's property, equipment, displays or materials brought to the Conference.


4. Cancellation by Sponsor

4.1 Cancellation of sponsorship must be made in writing to the Conference Organiser.

4.2 If cancellation is received on or before 19 September 2026, 50% of the Sponsorship Fee will be retained and the balance refunded.

4.3 If cancellation is received after 19 September 2026, no refund will be provided.


5. Cancellation or Changes to the Conference

5.1 The Conference Organiser reserves the right to change the Conference venue, dates, program or other arrangements where reasonably necessary.

5.2 If the Conference is cancelled, the Conference Organiser's liability to the Sponsor will be limited to refunding any Sponsorship Fee paid. The Conference Organiser will not be responsible for any additional costs incurred by the Sponsor, including travel, accommodation or other expenses.

5.3 The Conference Organiser may reasonably amend the allocation of exhibition space or floor plan where necessary.


6. Termination

6.1 The Conference Organiser may terminate the sponsorship agreement by written notice if the Sponsor:


a) materially breaches these Terms and Conditions and does not remedy the breach within a reasonable period after being asked to do so;

b) engages in conduct that may materially damage the reputation of the Conference, Conference Host or Conference Organiser; or

c) becomes insolvent or ceases to operate.

6.2 If the agreement is terminated due to the Sponsor's breach or conduct, the Conference Organiser may retain any Sponsorship Fee already paid and the Sponsor will no longer be entitled to the sponsorship benefits.


7. GST

7.1 All Sponsorship Fees are inclusive of GST unless otherwise stated. GST will be charged where applicable and shown on the relevant tax invoice.


8. General

8.1 The Conference Organiser may introduce additional sponsorship opportunities or amend unsold sponsorship packages without affecting confirmed sponsorship arrangements.

8.2 The Conference Organiser may refuse entry to the Conference to any person whose behaviour presents a reasonable risk to the health, safety or wellbeing of others or is otherwise inappropriate.

8.3 Nothing in these Terms and Conditions creates a partnership, joint venture, agency or employment relationship between the parties.

8.4 If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.

8.5 These Terms and Conditions, together with the Sponsorship Application Form and agreed sponsorship package, constitute the agreement between the Sponsor and Conference Organiser.
